Requests are only honored if:

  1. They are received within the arranged timetable:

  2. The client gives the program details together with the request, or a week after the feasibility meeting.

Terms and Conditions for Requesting a Culture and Arts Group

  1. The requesting party is not guaranteed any action on requests filed less than the timetable prescribed previously. In such cases, a letter addressed to the Director should be written and sent to the office stating the cause for the delay.
  2. All requests should be coursed to the Culture and Arts Office (CAO). Requests coursed outside the office’s procedures will not be honored by CAO, nor will the office will not take any repsonsibility towards the Green Media Group, or the client.
  3. The Green Media Group’s Vice President for External Affairs (VP Externals) or Vice President for Internal Affairs (VP Internals) shall contact the client for a feasibility meeting if there is no conflict in the Group’s schedule. Details of the event and the requested services will be the agenda for the meeting. A feasibility meeting does not guarantee a granted request.
  4. The requesting party must have only one (1) contact person who is involved, knowledgeable about all the aspects about the event and the production arranged during the feasibility meeting. Should another person be assigned to attend the feasibility meeting, the assigned person should take responsibility relaying said arrangements tot he contact person. Once the request is granted, arrangements made within the feasibility meeting will be strictly followed.
  5. Once the request is granted, the client will be asked to accomplish an evaluation form on GMG’s performance to be coursed through the VP Externals or VP Internals. It is the client’s duty to fill this up to help the Group improve in future service requests. GMG has the right to schedule a post-production or evaluation meeting after the request has been fulfilled to assess its result. This will also serve as an avenue for the client to assess their relationship with the GMG members involved, and vice versa.
  6. The requesting group can only make last minute changes and/or requests at least three (3) days before the date of event.
    1. In case(s) of changes regarding the time and venue, postponement or cancellation of the event, the VP Externals or VP Internals should be informed with an email or a text at least three (3) days before the event. If this is not complied, GMG has the option to automatically dismiss the request. In cases where the new time is in conflict with another request, the initial commitment will be given priority.
    2. In case of changes and/or requests which comply within the time requirement, GMG still has the option not to grant these requests, depending on the request’s feasibility.
    3. In case of a fortuitous event (e.g., typhoon or earthquake), the VP Externals or VP Internals should be informed as soon as possible, together with a notice of intent to re-schedule request. In cases where the new time is in conflict with another request, the initial commitment will be given priority.
    4. GMG reserves the right not to grant requests made on the day itself if there are any changes on the agreements during the production not communicated three (3) days before the event.
  7. Reservations of the necessary production equipment should be taken care of by the requesting party (i.e. venues, lighting equipment, projectors, laptops, equipments from IMS and ITS, etc.)
  8. The requesting group shall pay for all costs incurred in fulfilling the request. Work will not begin unless the client has not provided the materials and/or cash needed to render the services requested.
  9. The client shall provide meals, transportation, as well as other necessary deliverables on the client’s part for service requests.
    1. The client shall provide materials such as batteries, adhesive tapes, and other extinguishable materials for production service requests.
    2. The client shall provide materials such as their organization’s logos and other important files needed to accomplish the media service request. The client must state the preferred format of the final material (i.e., .png, .jpeg, .avi, .mp4, etc.). GMG reserves the right to hold onto raw footage of videos shot for a request for documentation.
  10. A ban on all activities request(s) shall take effect a week before and during the final examination week as declared by the University.
  11. The Group requires that the GMG ID shall be played after every production that the Group has managed, and GMG logo placements and credits shall be placed after every output produced by the organization as proper recognition of GMG’s efforts. This will vary depending on the material requested and on the negotiation of the GMG representative and the client.
  12. For addition al requests, the client should file a separate request form from the previous request form. All additional requests should be formally filed, and will undergo the same requesting process.
