Dissolving of Classes

In conjunction with pertinent provisions of the Chair’s Manual, the following guidelines are promulgated to streamline and clarify policies and procedures regarding dissolving of classes:
- Classes falling below the applicable minimum class size may be (a) dissolved; (b) converted to a special class; or (c) retained as a regular class.
- Classes are tentatively dissolved at the end of Week 1 if the applicable minimum class size is not met.
- The Office of the University Registrar sends a list of courses/sections tentatively dissolved to the Department Chair, copy furnished the Vice Dean (for undergraduate courses), the Graduate Studies Director (for graduate courses), and the Office of the Vice Chancellor for Academics.
- The faculty member handling the dissolved class should advise students to proceed to their Academic Assistant for advising. These students may transfer to other sections of the same course, or may adjust to add other courses in lieu of the dissolved courses.
- Students who are unable to transfer to other sections or to other courses are entitled to a full refund, the check for which may be claimed at the Accounting Office.
- Dissolved classes may be converted to a special class not later than the end of Week 2, provided the conditions for the offering of special classes apply.
- In cases where all the students enrolled in the dissolved class will attend the special class, a memo from the faculty, through the Chair and the Vice Dean, should be sent to the Office of the University Registrar requesting for the conversion to a special class. Otherwise, the students who will attend the special class should be required by the faculty to individually submit an Application for Special Class (O.U.R. Form No. E-03) to the Office of the University Registrar (Window 2).
- The Chair, through the Dean, may submit a letter to the Office of the VCA not later than Day 3 of Week 2 to request that classes tentatively dissolved at the end of Week 1 be retained as regular classes. The Office of the VCA office shall furnish the OUR a copy of the decision about such requests.
- Courses/sections included in the list of tentatively dissolved classes are deemed officially dissolved at the end of Week 2, unless the Office of the University Registrar receives communication that the class will be converted to a special class or has been retained as a regular class.
- For full-time faculty members, faculty units affected by dissolved classes may be carried as an overload in the following term.
