Leave of Absence
A “Leave of Absence” (LOA) refers to a temporary separation from the university during which students are not enrolled in any courses, are not considered bona fide students, and are restricted from entering the campus except for occasional visits to conduct transactions with specific offices.
Students on LOA are prohibited from enrolling in or studying at another educational institution. Any courses taken at another institution during this period will not be credited towards their program at this university.
Undergraduate, graduate, and TDSOL students are generally expected to maintain continuous enrollment until the completion of their program. Any break in this enrollment requires filing for an LOA, which, once approved, serves as official permission from the university to temporarily pause studies. An LOA typically includes an implied guarantee for the student’s return, subject to the university’s other policies.
Procedures
To file for a Leave of Absence, the steps below must be followed:
- Students must apply for LOA through this Gform together with the documents below:
- Yellow slip issued by HSO (for medical/health reasons) and email endorsement/validation from Counseling and Psychological Services (for mental health reason) are required.
- LOA Form and valid ID of the Parents/Guardian on Records
- Supporting Documents (if applicable only)
- Clearance from the Office of Admissions and Scholarships (for OAS scholars only)
- A copy of the Google form response will be sent to the student’s email as an acknowledgment receipt
- Students who are currently enrolled/enlisted, will be dropped or withdrawn (whichever is applicable) from all enrolled courses depending on the date of submission, subject to appropriate fees.
- Application will be evaluated and once deemed complete, OUR will process the LOA as endorsements/approvals from other offices shall no longer be required. Students will be informed through email once the LOA is processed not later than 4 working days upon submission of the complete application.
- It is the responsibility of the student to ensure that all necessary forms and documents must be submitted, thus, an incomplete application will not be processed.
- Students may be on LOA for a term or more, as there is no limit on the number of terms a student may apply for LOA.
- Upon return from LOA the student will have to coordinate with the following offices to check if they have any accountability that needs to be settled before applying for returnee enrollment.
- CPS (Counseling and Psychological Services)
- SDFO (Student Discipline Formation Office)
- FAO (Finance and Accounting Office)
- HSO/Clinic
- Associate Dean
- (FOR DLSU SCHOLARS ONLY)
Students who are recipients of scholarship grants should officially inform the DLSU Office of Admissions and Scholarships (OAS) in writing that they intend to take an LOA. Be reminded that taking an LOA is a ground for the termination of a scholarship grant unless special consideration due to meritorious cases was given by OAS. Refund
Claims for refund are made according to the policies of the Commission on Higher Education, as follows:

No refund shall be made after the second week of the term, regardless of whether the student has attended classes or not.
All checks for tuition refund, regardless of date of dropping within the applicable refund period, are released at the Accounting Office.
Returnee
To return, a student with or without a valid LOA for all the trimesters of absence must check the link for the procedure and schedule of application as Returnee.
Students are considered AWOL if they are not enrolled for a particular term, either as a regular student or in residency. As such, they shall be assessed a returnee fee upon resumption of enrollment.
