archives sectionHow do I find materials in the archival collection?

  • You may start by consulting the University Archivist, between the hours of 11:00 am and 6:30 pm, or any one of the attendants at the registration desk of the Archives reading room, or at the Special Collections room.
  • You may also retrieve information from the Online Public Access Catalog (OPAC) computers located on the ground floor lobby, second floor, and inside the Archives reading room.
  • The following materials are available in open shelves:
    • Theses and dissertations
    • University Publications
    • Center for English for Specific Purposes (CESP) Collection
    • Japanese Studies Collection
    • Oral History Collection

Who can use the Archives and check out materials in the collection?

Anyone who is a bona fide user of the De La Salle University Library and brings his/her Library Borrower's Card and ID may enter the reading rooms of the Archives and Special Collections and use the collection. However, since the Archives and Special Collections are research collections, materials are generally used only inside the reading rooms. Use of university records and unpublished material requires filling up an application form to be submitted in advance prior to an interview with the Archivist on the nature and scope of research.

Visiting users (except students and faculty from consortium schools) are required to:

  • Bring ID Card and referral letter signed by the Chief Librarian of his/her institution.
  • Pay the visiting fee of P80/day at the Accounting Office, LS Building, at once upon entry.
  • Proceed to the Library and present the Official Receipt, ID and referral letter to the attendant at the Information-Reference Section, on the second floor of the Library.
  • Secure a temporary library pass from the above Section before proceeding to the Archives on the fourth floor of the Library.
  •  Present the temporary library pass to the desk attendant at the Archives reading room.

Who do I contact to make arrangements to use the records and manuscript collections?

  • First, you should consult the Archivist, or anyone of her assistants. As a general rule, use of University Records requires written permission from the current head of the administrative unit where the records originated.
  • Use of Institutional and Historical Records requires prior written clearance from the Archivist.
  • Use of Faculty Papers and unpublished material in the Faculty Files requires advance written permission from the faculty concerned.

Who do I contact to make arrangements to use the Special Collections?

  • First, you should consult the Archivist, or the desk attendant at the Special Collections Room on the fourth floor of the Library. As a general rule, materials in the collection are for room use only.
  • Faculty and students using the Aurelio B. Calderon and CESP collections may check out materials for home use.
  • Service hours may be extended for patrons of the Special Collections from 4:30 to 6:30 pm by proceeding to the Archives, located on the same floor.

Who do I contact to make arrangement to use the theses collection?

  • Both graduate and undergraduate theses collections are available in open shelves at the Archives reading room.
  • Doctoral theses are also available in full text on CD-ROM.
  • Photocopying is restricted to certain portions of the thesis (i.e. Introduction, Review of Literature, Methodology, and Bibliography) and done only by Archives staff.

Who do I contact to make arrangements to use the Lasalliana Collection?

  • As a general rule, materials in the collection are for room use only. However, certain materials required for instructional purposes may be loaned out to faculty on a case-to-case basis.
  • Interlending requests to use Lasalliana materials available at the La Salle Provincialate, or at other Lasallian schools or institutions may be accommodated on a case-to-case basis. Please course your request in writing to the Archivist.

How can I view the Lorenzo M. Tañada Collection? The Memorabilia Room? The Numismatic Room?

  • The Lorenzo M. Tañada Memorabilia is available for viewing during library hours by special appointment only. Please inquire from the Archives or Special Collections attendant on the fourth floor of the Library.
  • The Memorabilia Room is available for viewing between 8:00 am until 4:00 pm. Extended viewing hours may be arranged by advance notice.
  • The Numismatic Room is available for viewing during library hours by special appointment only.
  • Please address all written requests to the Archivist.

How do I make arrangements to use the Francisco Ortigas Conference Room?

  • The Francisco Ortigas Room is a venue for small seminars and conferences, and not for thesis defense and classroom instruction.
  • Reservation forms are available at the Archives, Room 408, 4/F, Library Building.
  • Submit reservation form, duly accomplished, one week in advance prior to the event. Reservation is on a first come-first served basis, and is subject to approval by the Archivist.
  • Cancellation or postponement must be communicated in writing at least two days before the event.
  • User is responsible for borrowing furniture/equipment and/or other facilities from the following:
    • Instructional Media Services - for multimedia and AV equipment and materials
    • Physical Facilities Office (LS 160) - for additional chairs, lectern/podium, panels, etc.

How do I make arrangements to photograph the collection in the Archives?

  • You may start by consulting the Archivist.
  • Submit a written request for official approval. Notify the day and time when the materials will be photographed to give the Archives staff adequate time to prepare them.
  • Secure a Special Permission to bring in/check out photo equipment, accessories, and materials from the Director's Office.
  • Present a copy of the Special Permit to the Security Guard at the Library lobby, and keep the other copy.
  • Upon checking out, present the other copy of the permit.
